Description

Responsible for the management, implementation, administration, and communication of all Aevex employee leave, benefit programs, compliance, HRIS and other systems and programs. Provides oversight direction and leadership to HR AEVEX.

Duties and Responsibilities:

Benefits Management

  • Develop and maintain positive working relationships with third party vendors and outsourced administrators. Establish reporting and governance protocols to ensure that vendor products and services meet requirements for accuracy and timeliness of services
  • Oversee and contribute to content development and delivery for annual open enrollment, new hire, and life event communications as well as targeted communications throughout the year
  • Manage overall administration of employee benefits (Medical, Dental, Vision, Life & Disability, and 401(k)).
  • Ensure various Health and Welfare, Pension and 401(k) plan documents and Summary Plan Descriptions are legally compliant and administered by outsourced vendors according to plan provision
  • Respond to employees' routine and non-routine, complex, and/or sensitive benefits inquiries, correspondence and complaints. Maintain good working relationships with employees at all levels
  • Maintain awareness of and analyze current and developing legislation and regulations affecting benefits in order to assess their potential or impact on the company. Develop company responses to those changes
  • Partner with vendors and legal resources in order to complete government and regulatory agency required reporting. Prepare other internal benefits reports as requested
  • Support the implementation of any changes in the programs
  • Manage organizational communications relating to all Aevex benefits
  • Manage the Travel systems
  • Oversee the development and administration of employee wellness programs
  • Oversee the administration of the AEVEX awards program
  • Oversee the administration of the AEVEX professional development program

Leave Administration

  • Ensure proper management of all Leave of Absence vendor/insurance relationships and internal administration including FMLA, STD, LTD, Worker's Compensation, Military Leave, etc.

HRIS and Systems

  • Implement and oversee HRIS operations ensuring data integrity and compliance in system
  • Reporting to include:
    • Headcount and movement reports
    • Attrition
    • Ad hoc reporting
    • HR organizational and corporate reporting analytics
  • Development and integration of all HR tools and interfaces with other internal or external systems

Performance Management

  • Development and maintenance of employee Performance Management Program and tool.
  • EEO analysis of appraisal ratings and collaboration with HR Business Partners for follow up

Record Keeping

  • Ensure all employee files and records are properly maintained

New Hire Orientation

  • Oversee the management of the New Hire Orientation program to include development, content and platform

Compliance

  • Ensure all required audits, postings, notifications and reports are accurate and submitted in a timely manner, to include:
    • 5500's for Group Welfare Benefit Plans, Cafeteria Plans and 401k Plans
    • SAR – Summary Annual Report (prior to 9/30)
    • 1095C – ACA Reporting (Jan/Feb)
    • Creditable Coverage Notice – for prescription plans
    • Annual 401k audit
    • VETS 4214
    • EEO1
    • Affirmative Action
    • OSHA
  • Ensure all required EEO and other postings are in place and updated
  • Interpret regulations and develop and communicate policies, procedures and guidelines
  • Develop and deliver mandatory compliance training programs
  • Ensure compliance with OSHA

Other

  • Coordinate the collection and review of documentation needed to support the company's position at all unemployment hearings.  Represent Aevex at hearings. Prepare quarterly unemployment benefit reporting for management.
  • Perform other duties as required
  • Assist in the evaluation of reports, decisions and results of department in relations to established goals.
  • Participates in developing department goals, objectives and systems. Recommends new approaches, policies and procedures to continually improve efficiency of the department and services performed.
  • Obtain/retain a government security clearance at the level required to perform the job


Requirements

Skills and Knowledge:

  • Excellent analytical, problem-solving, and interpersonal skills
  • Strong knowledge of claims management, federal and state laws, and reporting requirements
  • Ability to maintain confidentiality of sensitive employee information
  • Knowledge and understanding of benefits laws: ERISA, FMLA, HIPAA, COBRA, STD, LTD, ACA, and IRS regulations
  • Demonstrated knowledge of employment law and how it impacts the design and administration of benefits and other HR programs
  • Proven ability to build rapport at all levels, and to deliver on commitments

Qualifications

  • Bachelor's degree in human resources, Business Administration, or other related discipline and 6-8 years of related experience in a government contracting environment or an equivalent combination of skills, education, and experience.

Other Preferred Skills:

  • SHRM CP/SCP, PHR, SPHR, CEBS or CBP certification strongly preferred

Working Conditions:

  • Work is typically performed in an office environment which requires proper safety precautions. Work may require some physical effort in the handling of light materials, boxes, or equipment.
